Social Media Guidelines Policy for SPD Members

INTRODUCTION
The purpose of these guidelines is to establish a framework for the responsible use of social media by members, staff, and affiliates of the Society for Pediatric Dermatology (SPD). We aim to promote awareness, share knowledge, and foster community engagement while maintaining professionalism and protecting the integrity of our organization.

SCOPE
These guidelines apply to all social media platforms and any official SPD accounts. They also serve as recommendations for personal social media use related to SPD.

GENERAL PRINCIPLES

  • Professionalism
    • Always represent the Society with professionalism and respect. Avoid posting content that could harm the reputation of SPD or its members.
  • Confidentiality
    • Do not share any patient information, case details, or confidential organizational data without proper consent. Adhere to HIPAA regulations at all times.
  • Accuracy
    • Ensure that all information shared is accurate and evidence-based. Cite sources where appropriate, and avoid sharing unverified claims.
  • Respect and Inclusivity
    • Engage in discussions with respect for differing opinions. Promote an inclusive environment that values diverse perspectives.
  • No Promotion of Personal Interests
    • ​​​​​​​​​​​​​​Avoid using SPD’s social media platforms for personal business promotions or endorsements.

CONTENT GUIDELINES

  • Relevance
    • ​​​​​​​Share content relevant to pediatric dermatology, including research findings, educational materials, and updates about SPD initiatives.
  • Engagement
    • ​​​​​​​Encourage interactions by posing questions, sharing polls, and highlighting member achievements. Foster a sense of community among followers.
  • Visuals
    • ​​​​​​​Use high-quality images and graphics that are appropriate and aligned with SPD’s mission. Ensure you have the right to use any visuals shared.
  • Hashtags
    • ​​​​​​​Utilize relevant hashtags to increase visibility but avoid overloading posts. Create a few unique SPD hashtags for events or campaigns.

RESPONSE GUIDELINES

  • Timeliness
    • ​​​​​​​Respond to comments and inquiries in a timely manner. Aim for responses within 24 hours during business days.
  • Moderation
    • ​​​​​​​Monitor comments for inappropriate content. Remove or report any posts that violate guidelines or are offensive.
  • Conflict Resolution
    • ​​​​​​​Address negative comments constructively. If necessary, take the conversation to private messages or direct them to the appropriate contact within SPD.

CRISIS MANAGEMENT
In the event of a crisis or negative publicity, do not engage publicly until a coordinated response is developed. Direct inquiries to designated spokespersons within SPD.

COMPLIANCE
Adherence to these guidelines is essential for maintaining the integrity and professionalism of the Society for Pediatric Dermatology. Violations may result in a review of social media privileges.

REVIEW AND UPDATES
These guidelines will be reviewed annually and updated as necessary to reflect the evolving landscape of social media and organizational needs.
